Important Information Regarding Your Booth Build

Find all the information you need to know before building your booth for DTW Ignite 2025. Discover work permits, building times, waste disposal, and more.

All individuals working at Bellagroup, including Bella Center Copenhagen and Bella Arena, as well as at AC Hotel Bella Sky, Copenhagen Marriott Hotel, and Crowne Plaza Copenhagen Towers, must comply with Danish legislation regarding work permits and registrations.

Wonderful Copenhagen, provides an overview of the common types of visas and permits, as well as the exceptions that apply to them. You will also find a guide to the mandatory `RUT’ registration, which must be completed when foreign employers send employees to Denmark for work.

Please note that this is a complex legal area with many rules and exceptions. This guide has been prepared to provide a clear understanding of the current set of regulations but cannot be used as a definitive conclusion regarding whether work permits are required in individual cases.

For further assessment, guidance, as well as approval of visas, work permits, and registration of foreign workers, we refer you to the following authorities:

Build-up times:

  • Saturday 14 June from 7:30 am – 7:30 pm 
  • Sunday 15 June from 7:30 am – 7:30 pm 
  • Monday 16 June from 7:30 am – 7:30 pm 

**All stands must be completed by 7:30 pm on Monday, 16 June. **

Dismantle times:

  • Thursday 19 June from 3:00 pm – 10:30 pm 

After build-up and dismantle timings, TM Forum and Bella Center Copenhagen will perform a walk through checking all build/dismantle is complete, aisles are clear, and all waste and empties have been removed.   Please refer to the waste removal section below for details on our waste removal policy and how to order waste removal services from the Bella Centre.

**If a stand is not complete within the given timings, overtime charges will be applicable. **

It is important that all exhibitors and stand builders review the Bella Center exhibitor terms available here.

We have highlighted some of the key event terms below.

  • It is not permitted to screw, glue, paint or in any other way cause damage to Bella Center Copenhagen or their equipment.
  • If you unexpectedly damage the interiors/building components, the Bella Center Copenhagen will be obliged to invoice you accordingly.
  • If you need to use sticking material on the Bella Center Copenhagen’s stand walls, floors, or fascia boards, you must use DuploColl 43102, Tesa tape 4964, or TESA Power-Strips, as these can be removed easily without leaving marks/glue residue.
  • Onsite, you can purchase DuploColl as well as wall hooks for lightweight items such as poster frames.
  • Please note that if you fail to remove sticking material residues from the Bella Center Copenhagen’s stand surfaces, floors, etc. on departure, you will be invoiced for post-event cleaning.
  • Exhibitors will provide all reasonable accommodations for persons with disabilities to access their booth in line with the Danish building legislation (see Building regulations).
  • Rigging for sponsor booths is not permitted.
  • Aisles must be kept clear to ensure free passage for others.
  • All belongings must be kept within your booth space.
  • Island booths can build to a max height of 5.00m.
  • All other booths can build their bordering wall to a max height of 2.50m.
  • Any adjoining walls facing into another exhibition area must be finished in a neutral plain colour and cannot feature your company logo or branding.
  • For adjoining booths, all signage higher than 2.50m must be set back by 1m in relation to the adjoining stand and the reverse of this sign must be plain white.
  • Two-story booths are only permitted for island booths and exhibitors who have paid the additional fees.
  • Two-story technical stand plans must be submitted by 21st March, 2025.
  • Single-story technical stand plans must be submitted by 25th April, 2025. *Upon receipt of stand plans, TM Forum reserves the right to suggest enhancements to your booth to ensure good neighbourly relations.
  • During the event, you must operate with consideration for other exhibitors and overall event operations. Demonstrations, activations, amplified sound, and music must remain at an acceptable volume. TM Forum reserves the right to request adjustments or suspend activities if deemed disruptive.

During breakdown/dismantling, vehicles and transport carts are only permitted one hour after the event has closed. All stands must be completed by 7:30 pm on Monday 16th June. At this time, TM Forum and Bella Center Copenhagen will perform a walk checking all build is complete, aisles are clear, and all waste and empties have been removed.

Penalty fees will be incurred for any waste left behind. If a stand is not complete by this time, there will be a charge for overtime.

  • If you are to build a two-story stand, the construction must be authorized by the Construction Authorities. You must apply via Bella Center Copenhagen (the application must contain technical drawings, any photographic material, and information on the construction materials, with a fire certification of those if available). - Documentation must be submitted together by the deadline, which is twelve weeks before the event start (21st March, 2025).
  • Two-story stands must always have a minimum of one stairway exit with a minimum width of 1.3 m. 49 persons are allowed to be on the top level (1st floor). The exhibitor must display signs on the stand advising this.
  • You are obliged to establish extra sprinklers on a two-story stand in accordance with the below ‘covered stand’ conditions.
  • According to Danish building legislation, a ramp is required for height differences exceeding 2.5 cm in floor structures. This ensures accessibility and safety for all users, promoting inclusion and mobility- in building design.
  • The ramp should have a 1:20 drop (equivalent to 5 cm per meter) and a minimum width of 77 cm to allow sufficient space for manoeuvring. Additionally, health and safety protocols require clear marking at the edge of elevated floor areas to prevent fall injuries.

Waste removal is not included in your exhibition sponsorship. For stand buildup and teardown along with any excess shipment boxes must be removed from the show floor.

There are two options for waste removal:

1100 liter waste bin/s can be rented through the Bella Center web shop per day (June 15, 16, 17 and June 20) for the number of bins required with a one-time use per bin, per day.

Waste bin recommendations:

  • Up to 18 sqm booth – 2 bins
  • 36 sqm booth – 3 bins
  • 72 sqm booth – 4 bins.

Stand builder to remove all waste after buildup and after teardown.

Exhibitors and Contractors must leave the space in which they have built and dismantled their stand clear at the end of the build and dismantling periods. Penalty fees will be charged for any waste left behind Monday night after build up or Thursday evening after dismantling.

Key timings All items must be removed by Monday 16 June at 7:30 pm.  For dismantle, all items must be removed by Thursday 19 June at 10:30 pm.  

Checkout certificate Once you have completed your dismantle on Thursday, you must check out with a designated TM Forum representative who will then provide you with a ‘checkout certificate’ confirming your space has been properly cleared.  

Exhibitors whose staff/contractors do not check out to receive their checkout certificate will incur a penalty fee of $1,000 USD plus costs associated with removing any waste left behind.

  • All fire technical installations such as emergency exits, fire hoses, fire cabinets, call points, and fire alarms must not be hidden, obstructed, or covered with decorations. All equipment for firefighting placed in the hall must always be visible and fully accessible.
  • Empty flammable packaging and stock must be continually removed from the hall.
  • As the halls have an automatic sprinkler system, there are limits to how you can cover your stand.
  • All conditions regarding the covering of stands and special areas must be agreed upon with Bella Center Copenhagen. We reserve the right to prohibit covering if it conflicts with the fire strategy in the hall. Therefore, you must inform about the type of covering, size, and materials.
  • If the fire strategical conditions allow it, you may cover your stand. Coverings of more than 9m2 should be constructed with water-permeable materials. You can also construct a firm covering, such as wooden panels, as long as the total firm covering does not extend more than 40% of the covered area. If you have a firm covering of more than 9m2, you are obliged to establish extra sprinklers on the stand.
  • The sprinkler system can only be installed by Bella Center Copenhagen, and we are happy to provide a non-binding quotation for the work.
  • Connection to main sprinkler pipes must always be undertaken by Bella Center Copenhagen.
  • The rest of the sprinkler system may be installed by Bella Center Copenhagen or another authorized technician (according to SKAFOR’s regulations).

For all types of work in lifts, a safety helmet must be worn, regardless of lift type, task or work duration.

This safety standard is introduced as an internal tightening of the rules in relation to the Work Environment Regulations, with the purpose of removing any doubt or dispute regarding the use of safety helmets during lift operations.

If you do not have a safety helmet available, one may be borrowed at SOC or through Dan Rasmussen (dara@bellagroup.dk.

Group Security will be conducting regular supervision with lift operations.

  • Where pillar branding has been agreed, branding and any structure encasing a pillar may be built to the highest measurement of the main stand structure to a maximum of 5.00m. This is unless the pillar is within 1m of an adjoining stand where no pillar branding is permitted.
  • Restrictions in the height of branding apply where there is venue infrastructure, emergency signage, fire hose reels or CCTV security cameras. In the case where such restrictions are applicable, specific measurements will be communicated to you by your sponsorship manager.
  • Branding or structures encasing a pillar cannot exceed the circumference of the pillar by 80mm on any sides.
  • If you are using a stand builder, other than TM Forum or Bella Center Copenhagen, you must advise your Sponsorship Manager of the name of your chosen company.  
  • The stand builder will need to submit detailed scale drawings, including plan views and elevations for approval by TM Forum and Bella Center Copenhagen. The plans need to show the stand location within the exhibition hall and the orientation of the stand design.  
  • Double-decker plans must be submitted by 21 March 2025. *Pre-approval required
  • Single story plans must be submitted by 23 April 2025.
  • Stand builders are committed to clear the space after the build-up and dismantling periods; all waste and material left behind will be disposed by Bella Center Copenhagen and charged to the stand builder directly.  
  • All stand builders will require a pre-clearance security pass to access the exhibition hall. This pass will need to be always worn when in the exhibition hall and will be checked by venue security at access points.  
  • Stand builders must submit this online form with the names of staff that will work at Bella Center Copenhagen. Each staff member will then receive a pre-clearance security pass when they arrive on site.  
  • Everyone working at Bella Center Copenhagen must comply with the rules of the Danish Working Environment Authority at: https://at.dk/ (tel.: +45 70 12 12 88). Please remember that a labour force from non-EU countries must apply for residence and work permits with the Ministry of Foreign Affairs before starting the work at Bella Center Copenhagen. Please remember to register all work by foreign workers in Denmark via Register of Foreign Service Providers (RUT) unless these exceptions apply. 
  • There is limited onsite parking available for trucks. If you need to reserve a space for the event duration, please communicate your requirements in the stand builder registration form . 
  • Please note there is no overnight security in the parking area, and anything left in the truck is at the owner’s risk. TM Forum and Bella Center Copenhagen will not be held responsible.
  • For unloading support, including the use of a forklift or other moving services, this will need to be scheduled with the onsite logistics team. To do this contact Henrik at expo@dk.dsv.com to reserve.
  • If you do not require assistance, upon arrival simply follow signage on-site to P2. Load-in is first come, first serve.

Booth extras and modifications are handled by the Bella Center directly. Should you wish, their support team can be used as a local supplier for the items you require.

After your kick-off call, the lead point of contact provided will be sent a welcome email to register with the Bella Center webshop. If you are already registered from a previous DTW-Ignite you can login using your existing credentials.

Turnkey booths are supplied as standard with electricity for the screen, lighting and 10amp desk plug for your use. If you hire additional electrical equipment you may need to add additional power to your order.

Shell scheme and space only booths do not have electricity included and will need to be ordered via the webshop accordingly.
